Google Gmail Transition

  • We want to make it easier for people to share information. One of the action steps outlined in 2024: The Future Our Kids Deserve is to modernize the district's email system. Jefferson Parish Schools is upgrading to Google's G Suite for Education, which will include Gmail for all employees. Employees have officially started using their new Gmail accounts September 3, 2019.

With the new JP Gmail system, email addresses are automatically created from the official employee name listed in our Business Plus (BP) Human Resources system. To be consistent across the district, the name listed in BP must match the name listed on the teaching certificate for certified employees or on the drivers license for classified employees. If you need to change your name, you can access the Name Change form through the Employee Portal.

As with any change, there will be some adjustments and bumps in the road. This page will be updated with resources and important dates to remember in order to make this transition as smooth as possible.

Additional Information

  • In addition to moving to Google Gmail, we are changing our email domain name from @jppss.k12.la.us, to @jpschools.org. The new email address format is firstname.lastname@jpschools.org. Last names may include a hyphenated name, and last names of employees with the same name may be followed by a number (firstname.lastname2@jpschools.org).

Email History: Currently, some history from GroupWise has been moved to Gmail. After the transition, one year of history will be available in Gmail. Up to two additional years of history will be available on GroupWise WebAccess; however, each month, one month of history will expire until all two years of history have expired in GroupWise. Gmail will retain email history thereafter. GroupWise WebAccess can be found by going to our jpschools.org webpage, Employees, Resources, and clicking GroupWise WebAccess in the left menu.

Proxy, Groups, Folders, and Labels: Items moved from GroupWise to Gmail include emails, contacts, and calendar events. Most calendar and email proxy accounts should remain; however, in some cases, you may need to set them up again. Note that Personal Contact Groups have been converted to Labels in your Google contact list. GroupWise Global Contact Groups have been converted to Google Groups, and Email Folders in GroupWise have been converted to Gmail Labels.

Self-Service Password Reset: A Self-Service Password Reset process has been added to allow you to reset your password at any time and from anywhere. See the document attached above (How to use Self-Service Password Reset) for directions. For security, you will maintain your own password and others will not be able create a password for you.

iPhones and iPads (IOS Devices): The Apple Mail and Calendar apps on iPhones and iPads do not work well with Gmail. Therefore, to get email and your calendar on a phone, the Gmail and Google Calendar apps must be downloaded from the Apple App Store. The attached document above (Installing Gmail and Calendar Apps on Apple iPhones and iPads) will guide you through the process of downloading and setting up the two apps. Google does not provide an app for Contacts. The same document provides steps to include your Google Contacts on your iPhone and iPad.
